10 Productivity Hacks for a More Efficient Workday

For many people, productivity is doing more. For me, it’s cutting through the busyness and focusing on what matters. And often, a few smart tweaks will make it easier to get things done.

While everyone else is busy chasing deadlines, these are the hacks I use to reclaim my time and keep my workday under control.

1. Plan Your Day the Night Before

One thing you can do to set yourself up for a productive morning is to plan your day the previous evening. And if time allows, you can plan for the entire week on weekends.

So, when you sit down to work, it becomes less about decision making and more about execution.

I normally take 10 to 15 minutes to decide on the tasks I’ll work on the next day. It doesn’t have to be a detailed plan, just a rough idea of what my day will look like.

2. Time Block Your Schedule

I have always been against multitasking. It makes you feel like you’re doing more when, in reality, you’re only splitting your focus into tiny, distracted pieces.

Time blocking your day fixes this. This works by dividing your day into blocks of time and dedicating each block to a specific task. You only move forward after completing the block ends.

When time blocking, allocate deep, high-energy tasks for when your energy peaks and then lighter tasks when you hit a slump.

3. Use the Two-Minute Rule

Little tasks may not seem like much, but on a closer look, they are the ones that trip us the most. Filing a receipt doesn’t take much time, but it piles up when you keep putting it off.

That’s why I use the two-minute rule. If a task takes less than two minutes to finish, do it right away. Don’t overthink or push it to later. Handle it now.

Unfinished tasks can continue to occupy your attention, especially when you keep thinking about them. And then you carry a heavy mental load without realizing it.

Finishing a task gives you a burst of accomplishment and clears your space for bigger and more demanding work.

4. Start With the Hardest Task (Eat the Frog)

Eating the frog is about tackling the toughest and most uncomfortable, but also the most important task of the day. Knock it out the first thing of the day before it gets the chance to hang over you.

Completing the hardest task makes everything else feel lighter. The rest of the day feels like a downhill. It gives you a huge mental relief and builds momentum.

5. Limit Distractions

We are surrounded by distractions, from our phones and TVs to the colleagues working beside us. Just when you are focused on your work, something pulls you away. And then suddenly, you’ve lost 20 minutes and forgotten where you left off.

Do whatever it takes to limit distractions, even if it means leaving your phone in another room or letting those around you know you’re not around for small talk or random questions.

6. Take Regular Breaks

At times, the best way to get more done is to step away from your work. Productivity doesn’t mean grinding non-stop. Even machines need a break.

If you push yourself too long without a pause, you’ll likely hit a wall. Step away from your work desk periodically to give your brain a break. Step outside and grab a snack while you’re at it. Move your body to shake out the tension from work.

I personally like the Pomodoro technique, where I work in sprints, then take a short break. After a few rounds, I reward myself with an even longer break.

When I return to my desk, I’m sharper and more focused than before.

7. Automate and Delegate

Not every task deserves your time. You’ve got limited time, and so you must only prioritize those that are urgent and important. The smart thing is to automate and hand off whatever you can afford to.

Automation tools act like a digital assistant who never gets tired. They’ll schedule and send out your email and social media posts automatically and set up recurring reminders for tasks you do every week.

Then there’s delegation, where you assign tasks to someone who can do them faster and better.

Combine both and you save yourself hours every week to focus on what matters.

8. Prioritize Self-Care

You cannot pour from an empty cup. It’s the same with productivity. You can’t get things done if your energy is at its lowest.

You can have the perfect system or best apps, but you’ll still struggle to perform at your best if you are running on empty. 

What does self-care entail? Get sufficient rest, ideally 7 to 9 hours. Eat a balanced meal to keep your energy steady. Exercise regularly to reset your mood and boost your focus. 

And finally, and my favorite, adopt a journaling habit to decompress and free your mind of clutter.

Do all this and with time, you’ll start noticing that your focus lasts longer, your stress drops and the quality of your work improves.

9. Use Productivity Tools and Apps

Your phone and laptop can be a productivity powerhouse just as much as it can be a distraction machine. The trick is knowing how to use them properly. Productivity apps and tools will help you stay organized and keep track of what matters.

There are a few ways the apps work for you: 

  • Time tracking apps like Clockify will show you where your time is going.
  • Task management tools like Asana and Todoist will keep your to-dos in one place and track your progress.
  • Focus apps will keep distractions at bay so you can focus on work.

10. Reflect and Adjust Daily

At the end of the week, sit down to review how your week worked out. Did you manage to eat your frogs and accomplish your to-dos? Did you stick to your time blocks and avoid distractions? What worked and what didn’t?

Use this information to refine your coming week’s schedule. Because productivity isn’t a set-it-and-forget game.

You’ll make mistakes along the way, and that’s fine. It’s part of growth. What matters is that you keep showing up and work harder towards your goals.
